The Challenge
Julia runs a solo transformational coaching practice, about a year and a half in and in the process of winding down the freelance writing work she used to do alongside it. Her stack was already AI-heavy — Claude and ChatGPT, Zoom AI Companion running a custom-trained summary template, Fireflies for transcription — but none of it talked to the rest of her workflow. After every one of her 9 to 11 weekly client calls, she was manually copying the Zoom AI summary into that client's Google Doc, reformatting it, then copying her own follow-up actions a second time into a separate actions doc. Her own to-do list, meanwhile, lived across Apple Reminders, a paper notebook, and a four-page PDF she printed out to cross items off by hand — Todoist felt overwhelming, Notion felt too slow in the browser, and nothing had stuck.
The Build
The assessment call surfaced three concrete opportunities, now being scoped into a build: a single Claude-built dashboard to capture and centralize her to-dos in one place instead of the Reminders/notebook/PDF patchwork; an automated client onboarding flow — contract, intake form, WISE payment tracking — so new clients move through setup without her chasing signatures; and a lightweight prompt addition to her existing Zoom AI summary template that flags content-worthy moments from her own sessions for social and blog use, since her best material already comes from every call she has.
The Result
This case study reflects the assessment findings and proposed build — the system above hadn't shipped yet as of this call. Once it's live, swap this section for the real, measured outcome.
Eliminating the 10-minute manual copy-paste on each of her 9–11 weekly calls alone puts roughly 1.5–2 hours a week back on her calendar before the to-do consolidation is even counted. That's time earmarked for two growth ideas she'd shelved for lack of bandwidth: a short "VIP vacation" coaching package for travelers, and a lower-cost group program for clients priced out of her six-month 1:1 container.
